At Atelier Majuscule, we attach great importance to the confidentiality of the information of our administrators, our staff, our volunteers, our clients, our partners and our users. This Privacy Policy explains how we collect, use, disclose and protect the personal information that you provide to us or that we collect when you use our Services.
We follow the requirements of the Act respecting access to documents held by public bodies and the protection of personal information in the private sector. In Quebec, the rights of access to information and respect for private life are enshrined in the Charter of Human Rights and Freedoms and by the Civil Code.
Please read this Policy and our Terms of Use carefully to understand it and our practices relating to your personal information.
Scope of the Policy
This Policy applies to information that we collect, communicate, store and otherwise process about you:
- On our website www.ateliermajuscule.ca, our customer portal and our social media pages, or all the applications they contain, designed and operated by Atelier Majuscule (hereinafter the “Platform”);
- In emails, texts, forms and other electronic messages between you and this platform;
- By recording video calls, telephone calls or discussions with the permanent Atelier Majuscule team;
- When you interact with our forms, advertisements and applications on third-party websites and services, if those forms, applications or advertisements contain links to this policy.
Finally, if you provide Atelier Majuscule or third parties with personal information concerning another person, you undertake to have the necessary authorization to do so and/or to have obtained all the necessary consents from these third parties in order to allow us to process them in accordance with our privacy policy.
Collection of personal information
Personal information is that which relates to a natural person and allows them to be identified. They are confidential. With certain exceptions, they cannot be communicated without the consent of the person concerned.[1]
We collect personal information when it is voluntarily provided to us by our administrators, staff, volunteers, clients, partners and users. We may obtain personal information on the Platform or, where applicable, by otherwise transmitting your personal information, including by creating a User account and choosing a password, opening a session, requesting a service, providing information in their account or by contacting us by telephone or email.
Atelier Majuscule is also a non-profit organization; when you make a donation to Atelier Majuscule or subscribe to the newsletter, you are added to our mailing lists and you consent to receive communications by email or post about the impact of your donation, about your contribution or about Atelier Majuscule.
All credit card transactions are processed by a secure payment server that meets the highest standards.
Use of personal information and image rights
We use the personal information collected to offer our integration services, manage relationships with our partners, facilitate administrative procedures and communicate with you regarding our activities. We may also use this information to improve our services, perform statistical analyses, comply with our legal and regulatory obligations, and resolve potential disputes.
Also our policy on the use of social media aims to raise awareness among permanent employees, in training, volunteers, members of the board of directors and clients, of the risks inherent in the use of social media. social media whether for professional use for Atelier Majuscule or for personal use. It also ensures respect for their private lives and preserves the organization's confidential information (see appendix 1: Authorization of image rights).
Disclosure of personal information
Atelier Majuscule undertakes not to transmit, exchange or share personal information with third parties, except in the following cases if:
- The person authorizes us to do so (Appendix 2: Consent form);
- Sharing information is necessary for processing a donation, for example during a credit card transaction;
- To provide the requested services or to satisfy a contractual obligation;
- To facilitate the provision of services to members, clients and users, market studies, distribution of newsletters, hiring of staff or for any reason detailed when collecting personal information;
- We are required by law to do so, as part of a legal requirement or legal process;
- To protect our rights, property or safety as well as those of our administrators, staff, volunteers, clients, partners and users
Personal information will never be sold to third parties, unless the organization obtains consent to this effect.
The organization also ensures that the personal information it holds about others is up to date and accurate when it uses it to make a decision relating to the person concerned.
Information security
We take appropriate security measures to protect personal information from unauthorized access, misuse, disclosure, alteration or destruction. However, please note that no method of electronic transmission or storage is completely secure. We cannot guarantee the absolute security of your information.
The Platform may include links to third-party websites, plug-ins, services, social networks or applications. Cookies, commonly known as cookies, are pieces of information that an http server stores on your computer's hard drive to identify you.
Clicking on these links or activating these connections may allow the third party to collect or share information about you. If you follow a link to a third-party website or activate a third-party plugin, please note that these third parties have their own privacy policies and that we have no responsibility for their privacy practices.
Physical files containing confidential information are kept under lock and key in a filing cabinet or in a location designated for this purpose by the person responsible and to which access is secure. Staff members cannot leave the workplace with personal information without organizational approval. The organization's offices are secured by a lock mechanism and an alarm system.
Computer files containing personal information are protected by a password in a cloud server and/or a local network for which entry of a secure password is required. A VPN connection is also required to access certain information. The organization has installed a firewall and antivirus software to limit the scope of malicious attacks.
The categories of people who have access to personal information when the exercise of their function requires it are as follows:
- Members of the board of directors and general management;
- Members of the permanent team;
- External accounting consultants.
The organization requires any person occupying a position in one of these categories to complete the Confidentiality Commitment Form, in Appendix 3. The organization also ensures that it provides for the roles and s responsibilities of its staff members throughout the life cycle of this information so that they understand how to implement the policy in their daily lives.
Retention of information
We retain personal information for as long as necessary to fulfill the purposes set out in this privacy policy. We will delete or anonymize your information when it is no longer useful based on an NPO's archiving obligations.
Your rights
You have the right to access, correct, update or delete your personal information that we hold. Privacy Policy Changes
We may update this privacy policy. Any changes will be posted on our website, with the revised effective date. We encourage you to periodically review this policy to stay informed about our privacy practices.
